Exhibit/Sponsor Policies & Information

The 2024 ASAE Annual Meeting & Exposition is open to association and association management company professionals, consultants, federal government employees, higher education professionals, corporate meeting planners, and attorneys. Meeting registration is only open to those suppliers/business partners who exhibit, sponsor, or have been selected as an official conference Content Leader (speaker). Exceptions are made only for ASAE Board of Directors, speakers, and volunteer council/committee members whose council/committee is meeting in person during the ASAE Annual Meeting & Exposition in Cleveland. This ensures a high buyer/supplier ratio. No one under the age of 18 may enter the exhibit hall at any time. ASAE reserves the right to refuse ineligible registrations.

All registrations are reviewed to ensure they meet ASAE eligibility policies. ASAE reserves the right to refuse or cancel all ineligible registrations at any time and shall not be held accountable for any outside fees associated with this cancellation. Please refer to the specific Eligibility Policy above.

All requests for cancellation or reduction of exhibit space/sponsorship packages must be made in writing to exhibit@asaecenter.org; and shall become effective upon receipt by ASAE. Due to the difficulty of determining and detailing the losses which would result from cancellation of exhibit space/sponsorship package, the Exhibitor/Sponsor agrees to pay the following as liquidated damages (and not as a penalty) if the Exhibitor/Sponsor cancels its exhibit space: If written notice of cancellation is received by ASAE on or before March 1, 2024, ASAE will retain or shall be owed a cancellation fee of $150; if written notice of cancellation is received by ASAE on or after March 2, 2024 but before May 1, 2024, ASAE will retain or shall be owed a cancellation fee equal to 50% of the total exhibit/sponsorship fee (not just the deposit) plus a $150 processing fee; if written notice of cancellation is received by ASAE on or after May 2, 2024, ASAE will retain or shall be owed a cancellation fee equal to 100% of the total exhibit/sponsorship fee. The above cancellation fee terms shall apply regardless of the execution date of this Agreement and regardless of any re-sale of booth space or sponsorship package cancelled by Exhibitor/Sponsor.

If exhibit booth space is reduced, a fee equal to 20% of the difference in the cost between the originally assigned exhibit space and the cost of the reduced exhibit space requested will be charged if written notice is received by ASAE on or before March 1, 2024; if written notice is received on or after March 2, 2024 but before May 1, 2024, a fee equal to 50% of the difference in cost between the originally assigned exhibit space and the cost of the reduced exhibit space requested will be charged. Commencing May 2, 2024, exhibitors requesting reductions in space will receive no refund for any difference in cost. Furthermore, ASAE has full authority to relocate any Exhibitor after downsizing of space.

 

After the online booth selection lottery is held February 21-22 2024, a 50% deposit is required at the time of online contract submission and full payment is due no later than May 2, 2024. Thereafter, full payment is required at the time of online contract submission for exhibits and sponsorship packages. All participants are further responsible for ensuring that there are no outstanding amounts owed by them to ASAE. Participants may not appear online until payment in full is received. If payment is not received prior to the start of the conference, ASAE will not allow access to the event until payment is rendered. Day of event payments will not be accepted.
